Quote Builder
Privacy notice
Last updated 31 October 2026
This is a draft awaiting legal review. It describes how Quote Builder works today; the wording may change.
Who we are
Quote Builder is a quoting tool for landscaping businesses, provided by Richard Shaylor (“we”). For anything about your personal data, email privacy@shaylor.org.
Two kinds of personal data, two different controllers
- Your account, if you use Quote Builder. We decide how your account data is used, so we are its controller. This notice covers it.
- Details a business keeps about its clients and nurseries, such as a client's name and site address on a quote, or a nursery's contact. The business decides what it keeps and why, so it is the controller and we process that data for it under a data processing agreement. If you are one of a business's clients or nursery contacts, ask that business about your data. We'll help it answer you.
What we collect about people who use Quote Builder
- Your account: your email address, your name if you give it, the businesses you belong to and your role in each, and when you last signed in.
- What you change: an audit log records changes to quotes, rate cards, settings and the team, with who made them and when.
- Error reports: when something goes wrong, we record your user id, the business, the page address without any search terms, and your browser, so we can fix it. Never your email, name or anything typed into a form.
- Page views and speed: anonymous counts of which pages are used and how fast they load, without cookies and without search terms.
- Feedback you send us: your message, the page you were on, any screenshot you attach, and your email address so we can reply.
Why we use it, and our lawful basis
We use your account data to let you sign in and work in your business's quotes, to keep the service secure, to fix faults and to answer you. Our lawful basis is our legitimate interest, and the business's, in providing the service the business has asked for. We don't sell your data, use it for advertising or make automated decisions about you.
Cookies
Quote Builder sets one cookie, which keeps you signed in. It is strictly necessary, so we don't ask for consent. Page view and speed counts use no cookies.
Who else handles it
These services process data for us, under data processing terms, in the UK and EU:
| Service | What for | Where |
|---|---|---|
| Supabase | Database and sign-in | London |
| Vercel | Hosting, page view and speed counts | London |
| Resend | Sending email: sign-in codes, invites, plant lists | EU |
| Sentry | Error reports | EU |
These companies are based in the United States. Where any of them can access data from outside the UK, the transfer is protected by the safeguards in their data processing terms, such as the UK International Data Transfer Addendum.
How long we keep it
| Data | Kept for |
|---|---|
| Your account | While you belong to a business. Once you belong to none and haven't signed in for 12 months, it is deleted automatically. |
| A client's details on a quote | 6 years after the quote last changed, then erased automatically. A business can erase them sooner. |
| The audit log and plant list email records | As long as the quote or record they belong to. |
| Feedback emails | 2 years. |
| Error reports | As long as Sentry keeps them on our plan, at most 90 days. |
| Backups | 7 days, after which erased data is gone from them too. |
Your rights
You can ask for a copy of your data, to have it corrected or erased, to restrict or object to how we use it, or to have it in a portable form. Email privacy@shaylor.org and we'll reply within a month. You can change your name yourself under Your name. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
Keeping it safe
Data is stored in London and encrypted in transit. There are no passwords to leak: you sign in with a code sent to your email, and you're signed out after 7 days without use. Each business sees only its own data, and what each person can see depends on their role.
Changes
If we change this notice, we'll update the date at the top, and tell businesses about any significant change.
